Privacy Policy

School Data Services ("we," "us," or "our") operates schooldataservices.com and provides data infrastructure services to K-12 school districts and educational organizations ("clients"). This Privacy Policy explains how we collect, use, disclose, and protect information when you visit our website or engage with our services.

1. Information We Collect

We collect information you voluntarily provide, including:

  • Name, work email address, job title, and organization name when you submit a contact or lead form
  • Messages and questions you send us
  • Enrollment size or district information you provide

We also collect limited technical information automatically, such as your IP address, browser type, and pages visited, through standard web server logs and analytics tools. We do not use third-party advertising trackers on this site.

2. How We Use Information

We use the information we collect to:

  • Respond to your inquiries and schedule consultations
  • Provide, maintain, and improve our services
  • Send you information relevant to your inquiry or our services (you may opt out at any time)
  • Comply with legal obligations

We do not sell, rent, or trade your personal information to third parties.

3. Student Data

School Data Services processes student data solely on behalf of our client districts, under contract, and only for the purposes those clients authorize. We do not use student data for any commercial purpose, and we do not share student data with third parties except as required to deliver contracted services or as required by law.

All student data handled under client engagements is stored in the client's own Google Cloud project. We act as a data processor; the district remains the data controller for student records.

4. Data Sharing

We may share information with:

  • Service providers who help us operate our website and business (e.g., email delivery, CRM tools), bound by confidentiality obligations
  • Google Cloud Platform, which hosts our infrastructure and client data warehouses
  • Legal authorities when required by applicable law, court order, or to protect our rights

5. Data Security

We implement reasonable technical and organizational measures to protect information against unauthorized access, disclosure, alteration, or destruction. Client data warehouses are built on Google Cloud's secure infrastructure with encryption at rest and in transit, role-based access controls, and audit logging.

No method of transmission or storage is 100% secure. If you believe your information has been compromised, contact us immediately.

6. Data Retention

We retain contact and inquiry information for as long as necessary to respond to your inquiry and maintain our business relationship, or as required by law. Client data is retained per the terms of the applicable service agreement. Upon contract termination, client data remains in the client's Google Cloud project; we do not retain independent copies beyond what is needed for offboarding.

7. Children's Privacy

This website is directed to district administrators, educators, and IT professionals — not to students or children. We do not knowingly collect personal information directly from individuals under the age of 13 through this website. Student data processed as part of a client engagement is handled under a separate data processing agreement with the client district.

8. Your Rights

Depending on your jurisdiction, you may have the right to access, correct, or delete personal information we hold about you. To make a request, contact us at sam.taylor@schooldataservices.com. We will respond within a reasonable timeframe.

9. Third-Party Links

Our website may contain links to third-party sites. We are not responsible for the privacy practices of those sites and encourage you to review their policies.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the effective date above. Continued use of the site after changes are posted constitutes acceptance of the updated policy. For material changes, we will make reasonable efforts to notify affected clients directly.
